We use Elvanto for rostering volunteers, planning services, and for communication.

If you’re volunteer on a role at St Alban’s, you will have been sent login details. If you need the email resent, contact the office.

The online roster lets you see when you’re rostered on and who else is rostered on with you. It also stays up to date when people change dates.

If you are unable to access a device to log into Elvanto, you can contact the office for a printed copy of the roster (A3 size). Bear in mind any printed roster will not show when the roster has been updated or people have swapped.

Find a replacement

If you can’t do one of the dates that you’ve been rostered on for, you’ll need to find a replacement. You can do that the more personal way (pick up the phone and call someone!) or automatically using Elvanto’s replacement request feature.

Find a replacement personally
  1. If you know people who could replace you, just contact them and ask. You can look up contact details for people in the Parish Directory.
  2. When you find a replacement, let Kaleb in the office know (, 08 9328 8071), or if it’s a weekend, contact one of the other staff, so we can know who’s on and update the roster.
Find a replacement automatically

To find a replacement automatically, log in to Elvanto and check your roster.

What to do

1. Tap the service you want to replace yourself for.

2. Tap the red cross next to your name to Decline the role for that day.

3. Tap Swap or Replace.

You’ll be show a list of people who can replace you.

If you see a message saying “There are currently no replacements / swaps available”, then as far as Elvanto knows, there’s no one available to replace you. You’ll need to contact people personally.

4. Select who you want to send a replacement request to.

5. Tap Send Requests to send a request via email.

What happens next

If someone accepts your request:

You’ll receive a confirmation email, and there’s nothing else you need to do.

If no one accepts your request before the Saturday:

Elvanto will notify you by email, and you’ll need to contact people personally.

I can’t find anyone!

If you’ve tried everybody available, but you haven’t found a replacement, contact one of the staff.

Parish Directory

The Parish Directory is available on Elvanto. The information in the directory is available only to those who are themselves in the directory.
